Action Definition Step (Agents)

The Action Definition step configures the action templates the Pricefx Agent uses when turning detected items into tasks, defining each action’s summary, description, due date, assignee settings, supporting dashboard, and action plan structure so that outcomes are delivered as clear, actionable work items for users.

Action Definition

Defines which Actions are created for each detected insight and how they are assigned so that responsible users can address the identified problem or opportunity.

  • Group Actions by – Detected Items are grouped based on the fields defined in this configuration option. The Group Actions by setting controls how Detected Items are aggregated into a single Action. The list of available fields is derived from the fields defined in the Group By configuration option in the Definition step.

  • Keep Top Actions – Only Detected Items with the highest potential impact, based on the first impact defined in the Impact Definition are considered. There is a system-enforced maximum limit of 500 Actions. If the configured value exceeds this limit, it is automatically reset to 500. The default limit is 20 Actions.
    info A value of 0 indicates that there is no functional limit; however, the system limit of 500 Actions still applies.

Ranking Based on Impact

When Actions are limited, the system retains the Actions with the highest impact, allowing users to focus on the most critical issues first. The resulting Actions are stored in the Actions Datamart Table. Detected Items that do not result in an Action being created are removed.

Action Table

  • Summary – The Action’s title that identifies the case for the assignee. Summary is also used as the subject line in notifications.

  • Description – More detailed explanation of what the assignee is expected to investigate or do for the Action.

  • Due Date – Defining when the Action should be completed. The actual date is calculated relative to the Action creation date (for example, “same day next week”).

  • Dashboard – Specifying a dashboard embedded into the Action detail to support investigation. Sales Insights and Customer Insights dashboards are fully supported, others may work with limitations.

  • Assign to – Defining the fallback assignee (single user) who receives the Action if no mapping in Assign to per Dimension applies or no matching user is found.

  • Assign to per Dimension – Allowing you to assign Actions dynamically based on values of selected dimensions (for example, customer or sales region) from the Definition step. If mappings apply, Actions are routed to users linked to dimension values.
    info The input used for dimension values allows you to type custom values that are not yet present in the Datamart, which is useful when you want to prepare assignments for future periods or codes with no historical data.

  • Action Plan – Linking the Action to an Action Plan. Allows you to group Actions created by an Agent together by nature. Action can be located in a specific group within one Action Plan.

  • Action Group – Linking the Action to a specific Action Group within an Action Plan, used to further organize related Actions under the same plan.

Similar Case Re‑Creation

  • Similar case will not be recreated before – This section is controlling how soon the Agent is allowed to create a new Action for a case that is similar to one already created, to avoid flooding users with repeated Actions for the same issue.

  • Period – Defines how long the Agent should wait before recreating a similar Action once the previous one has been closed or resolved.

    • Day

    • Month

    • Year

    • Never

  • Interval – Numerical value combined with Period to define the minimum elapsed time before a similar Action may be created again.
    info For example, Period = Month, Interval = 3 → Three months.

Impact Calculation

Defines quantitative metrics used to estimate the expected business impact of resolving Actions, so that Actions can be prioritized and summarized by impact.

Impact Definition

Table listing one or more impact metrics that will be calculated for Actions created by the Agent.

  • Measure – Selecting the analytical measure (for example, revenue uplift or profit uplift) that quantifies the theoretical impact of the Action.

  • Impact Type – Classifying each Measure into the following business impact category. The first Impact Type is also used for ranking when limiting Actions via Keep Top Actions.

    • Profit

    • Revenue

    • Costs

    • Trends

    • Target

    • Benchmark

    • Others

  • Realization Rate (%) – Specifying what percentage of the theoretical impact is realistically expected to be realized when the Action is executed.
    info For example, 20% of calculated revenue opportunity.

  • Order – Defining the sequence in which impact metrics are evaluated and displayed.
    info The first row (Order 1) is used as the primary impact for ranking Actions and for summarization dashboards.

Action Task

The Action Task section lets you configure follow‑up tasks that users can trigger directly from the Action screen for selected detected items (for example, creating quotes or updating Live Price Grids).

Action Tasks are available only for the Data Agents.

Quote Creation

The Quote Action Task allows users to create sales quotes directly from detected items in the Action screen. When the Task Name option is set to Create Quote the following options are available:

  • Quote Type – The Quote Type used for all quotes created from Actions of this Agent. You can select any available Quote Type within the partition. All quotes created by this Action Task will use the selected Quote Type. This field is required.

  • Quote Header Customer Id Field – The field where the Customer Id will be written when creating a new quote from an Action. The customer associated with the detected items is stored in this header field. Text-based quote header inputs (e.g., customerId) are supported.

  • Quote Line Item Price Field – The field where the price recommended by the Agent will be written when creating a new quote from an Action. For each detected item converted into a quote line, the value from the configured Agent Recommended Price Field is mapped to this field. A dropdown list of numeric quote line item fields for the selected Quote Type is available.

  • Agent Recommended Price Field – The Agent dimension that stores the price recommendation for each detected item. For each selected detected item, the value of this dimension is copied into the configured Quote Line Item Price Field on the newly created quote lines. A dropdown list of dimensions from the Agent data scope is available.

Limitations

The Create Quote Action Task currently operates within a clearly defined scope and set of technical constraints. For more information see Quote Creation Action Task Limitations (Agents).

Update Live Price Grid Action Task (Price Setting Accelerator Based)

The Update Live Price Grid (Price Setting Accelerator Based) Action Task allows users to update prices in the Simple Live Price Grids directly from detected items in the Action screen. The Action Task takes Agent‑recommended prices and writes them into the relevant Live Price Grid items.

  • Price Setting Dependency Level Field – The Price Setting Accelerator dimension that determines which Live Price Grid should be updated. This dimension represents the dependency level used by the Price Setting Accelerator (for example, Country or Segment). A dropdown list of dimensions from the Agent data scope is available. This field is required.

  • Agent Recommended Price Field – The Agent dimension that holds the recommended price for each detected item. For each detected item, the value of this dimension is written into the configured price field in the Live Price Grid. A dropdown list of dimensions from the Agent data scope is available. This field is required.

Limitations
